Once the author has submitted, received and incorporated relevant reviewer feedback, it is time for author submission to the Policy Council Chair(s) responsible for issuing final approval of operational policies and procedures. Once final publishing approval has been reached, any further changes to a published policy will require going through the same automated COPPS approval process to ensure document security/control is maintained.

The last step in the publishing process involves the author submission of the proposed documentation to the Policy Council Chair(s) for acceptance or rejection. This final stage notifies each Chair member via email of the submission for approval and provides him or her with a direct link to the submitted document(s). If a policy is rejected, the Chair member can use the comments feature to detail required changes and if the policy is accepted it notifies the author of approval for final publication via email.

Once approved for publication and employee access, the documents are stored in COPPS’s secure and permanent archive. In addition to storing and archiving the approved copy, COPPS also stores and archives the project’s workflow process including the saving of all page versions during the editing process in case an earlier copy of a document is needed for reference purposes. Also saved and archived are the comments of the working group submitted during the review process.

The beauty behind the COPPS workflow approval process is that it can be created and assigned by specific policy or procedure area and can be n-tiered.
